Design furniture specialist Bullfrog streamlines ordering and model processes with Web-ERP VlexPlus

Cumbersome workarounds, no workflow control and inadequate transparency of production process monitoring convinced Bullfrog Marketing und Design GmbH to restructure and modernise its corporate IT in 2016. The Upper Franconian medium-sized business considered a system capable of dynamic growth as needed, a sustainable technological basis and flexible processes to suit different product variants as important criteria in the selection of its next ERP generation.

With the introduction of Web based corporate software with consistent logic covering variations in 2017, the company laid the foundation for ongoing improvement even beyond its boundaries. The company, founded in 1995, represents creative, individual furniture and lounge chairs combining modern design and aesthetics with functionality. Bullfrog markets a comprehensive range of exclusive, customisable upholstered furniture, couches, tables, beds and accessories via a global partner network of home décor and furnishings shops.

INITIAL SITUATION

Inflexible traditional system

Bullfrog for many years relied on distribution software lacking significant workflow support. Keeping and maintaining production planning and control data in separate Excel documents was widespread. It was also planned to henceforth keep more items in stock, to handle disposition and procurement in-house and to more closely monitor production processes. “The existing infrastructure was simply incapable of keeping all process participants informed of individual process steps and furniture configurations and to monitor them. “Our traditional system was furthermore unable to keep pace with our own demands and those of our customers. What ultimately kept growing, however, was our realisation that we needed to restructure to keep pace with future developments”, emphasised Bullfrog Board member Hannes Beuerle.

“Since every customer these days is keen to customise his lounge suite, we were looking for a comprehensive ERP solution also catering for wide ranging customisation. Should a customer demand a sofa with brown buffalo leather, beige seams, a battery operated extensible chair with table made to measure between, then we must be in a position to quickly and easily investigate such a configuration.”

For many years, Bullfrog used sales software that did not support any significant workflow. Information on production planning and control was largely kept and maintained in separate Excel documents. In addition, it was planned from then on to keep more articles in the company's own warehouse, to carry out scheduling and procurement independently and to monitor the production processes more intensively.

Decision-making process

Web technologies to offer safety of investment

In the subsequent evaluation phase, VLEXsoftware+consulting gmbh offered the most coherent overall system - based on its VlexPlus ERP: “What weighted most on the decision, apart from the consistent variant logic, was the Internet based system. This offers us not only independence of platforms and terminal devices but also allows us to easily link external partners into the system. And the option of activating individual modules at any time and integrating these into a growing, scalable infrastructure offers us significant security”, justifies Hannes Beuerle the decision.

The introduction was on schedule and within budget and the new system started real time operation on 01.01.2017. Whilst it was previously impossible to store complex variant logic rules in a structured form, Bullfrog can now offer VlexPlus, a highly flexible automated process capable of fast and reliable examination of customer demands. “In addition to the ability to now offer customers and partners information via our information cockpits, we also benefit from faster order processing, optimised stocks and sustainable high data quality, offering the management team professional monitoring and process control. This significantly facilitates our daily work whilst also contributing to increased service quality and customer loyalty”, says Hannes Beuerle.
